Privacy
How we protect students.
Most of our members are under 18. This page explains what we collect, who sees it, and what we will never do.
This website
This site does not use cookies, ads or tracking. It saves two small things in your own browser: whether you closed the announcement banner, and a short-lived copy of the meeting schedule so pages load faster. Neither is sent to us.
Meeting dates and officer details are loaded from a Google Sheet, and photos may load from Google Drive, so Google receives standard web requests from your browser. Two things load only if you click them:
- Instagram posts on the home page. Instagram may set its own cookies.
- Champion speech videos. They play from YouTube in its privacy-enhanced mode, which doesn't set cookies until you press play. After that, YouTube's own privacy policy applies.
Sign-up and RSVP forms
Our forms are Google Forms run by the club's Google account, so Google stores the answers for us. A parent or guardian should fill out the member sign-up form together with the student. Students under 13 should not fill it out on their own.
The member sign-up form asks for:
- The student's name, age, grade, school and town, and an optional student email
- A parent or guardian's name, email and phone number
- Why the student wants to join, which meeting times work, and anything that would help them take part
- The member commitment, a photo choice, and a parent or guardian's consent and typed signature
The guest visit form asks only for the guest's name, grade, school or town, and a parent or guardian's name and email.
Only the officers who manage membership and our adult Club Counselor can see responses. We use them to manage seats, the waitlist and meeting reminders. We never sell them or share them outside the club, except with Toastmasters International as explained below.
How long we keep it
At the end of each club year, we delete responses for students who have left the club or the waitlist. You can ask us to see or delete your family's information at any time by emailing gavelclubnj@gmail.com. We'll do it within 30 days.
Names and photos
- We post a student's name, photo or bio only with written consent from the student and a parent or guardian.
- We use first names and last initials only.
- We never post full last names, email addresses, phone numbers, home addresses or dates of birth.
- We don't tag personal social media accounts unless a student asks us to.
Changing your mind
Email gavelclubnj@gmail.com at any time to remove a name, photo or bio. We remove it from this site and our Instagram within 7 days. Printed flyers already handed out cannot be recalled, but we won't reprint them.
Toastmasters International
As a Gavel Club, we share basic membership information with Toastmasters International when required to keep our club in good standing. Their own privacy policy applies to anything they receive.
